How to Write a Succinct Letter of Intent

A letter of intent is any letter that states your intention to enter into an agreement or contract. In some cases, it acts as a cover letter that accompanies your resume when applying for a job, college or a grant. It can also be an introduction for a proposal you're making to a second party, usually for business purposes. No matter the purpose, your letter of intent should be clear, succinct and explicit about your intentions.

Open your word processing program and center the text. Type a header with your name and contact information. Double space and set the text to the left. Type the name and contact information of the recipient of the letter.

Write a formal greeting to the recipient by name, such as "Dear Mr. Jones." Double space and type an introductory paragraph of two or three sentences. Tell the recipient who you are, e.g., former employee, recent grad, experience manager, and what the purpose of your letter is--a business proposal or a scholarship request. Don't skirt around the intent or hide your intentions with flattery or irrelevant information.

Type a paragraph of four or five sentences that gives the supporting reasons for your request. Explain what you, or the company or organization you represent, have done that qualifies you for what you're asking. For example, if you're a recent grad student looking for a grant, share comments on your dissertation or write about your volunteer work. If you're an employee who wants to transfer to another branch of the company, use this paragraph to tell the recipient something about your skills and success on your current job.

Type a paragraph of four or five sentences detailing the agreement, if it's a business proposal or if money is changing hands. Keep your sentences short and clear. Leave no room for misinterpretation or misunderstanding. Include dates, financial information, deadlines, clauses and/or the level of confidentiality involved in the transaction, if needed. For long proposals, keep your letter succinct. Include only deadlines, payment and important dates.

Close with a paragraph of two to three sentences. State how you'll follow up or how you want to be contacted. Thank the recipient for taking the time to read your letter.
